AV Networking and IT Integration

Audio, video, and controls connected through a network designed for the way your system will operate.

XL AV works with your IT team to plan the infrastructure, configure the agreed AV functions, and verify performance across rooms and sites.

Planning, implementation, and handover

Network readiness before equipment selection

Establish what the system needs and whether the existing infrastructure can support it.

XL AV reviews source and destination counts, audio channels, video formats, room locations, operating modes, and expected simultaneous use. We coordinate those requirements with the customer’s IT team before switches, endpoints, and uplinks are finalized.

The review identifies available ports, switch models, firmware, cabling, rack space, power, and any required changes. A working office network does not establish capacity or compatibility for the proposed real-time AV traffic.

AV-over-IP video distribution

Move selected video sources between rooms and display destinations over a designed network.

AV-over-IP uses encoders, decoders, and network infrastructure to distribute video. We plan source-to-display routes, format requirements, switching behaviour, and audio coordination around the intended use. Transport formats and device families must be compatible.

Bandwidth calculations consider the selected platform, active streams, receiver groups, and the links those streams traverse. We include inter-switch uplinks and future expansion. A fast endpoint port cannot compensate for an overloaded shared uplink.

Dante and networked audio

Coordinate channel routing, timing, and device capacity.

Dante connects compatible audio devices over Ethernet, with clock synchronization maintaining the timing relationship between them. XL AV plans channel subscriptions, device naming, sample-rate compatibility, latency settings, and the intended clock arrangement.

Channel counts alone do not describe every constraint. Device flow capacity, the number of destinations, network paths, and cross-subnet requirements also matter. We verify the proposed architecture against the actual endpoints and management platform.

Multicast and device discovery

Deliver streams and discovery traffic to the devices that need them.

Multicast can distribute a source to multiple receivers. Switch handling must suit the selected platform so traffic reaches the intended receivers without unnecessarily consuming capacity elsewhere. We establish whether IGMP snooping, a querier, or multicast routing is required for the design.

Discovery is a separate consideration from sending media. A device can have an IP address and still remain unavailable to its control software. We test discovery, subscriptions, and stream changes across the actual switching and routing boundaries.

Clocking, QoS, and real-time performance

Maintain appropriate timing and traffic priority throughout the path.

Real-time audio and video can be affected by delay variation and packet loss. Quality of Service, or QoS, prioritizes traffic where the platform requires it. We coordinate classification and queue behaviour with IT across all relevant switches.

Clocking requirements differ between platforms and operating modes. We check the applicable Precision Time Protocol requirements and any switch features that affect them. Manufacturer guidance is applied to the installed models and firmware rather than copied as a universal switch preset.

VLANs, addressing, and access boundaries

Plan isolation without breaking discovery, media, or controls.

A dedicated AV network or a shared enterprise network may suit the project. We agree VLANs, addressing, DHCP or reserved addresses, routing, discovery boundaries, and permitted services with IT. Separating traffic needs to preserve the functions users require.

Dante and other AV platforms may need additional management or supported routing arrangements to operate across subnets. We identify that scope before promising room-to-room or campus-wide operation. Control access is defined separately from media distribution.

Switch capacity, PoE, and fibre

Specify the physical infrastructure for the endpoints and their location.

We review port speeds, switching capacity, uplink utilization, and Power over Ethernet requirements where devices use PoE. The per-port capability and total switch power budget both need to support the proposed equipment and startup behaviour.

Copper and fibre routes are selected for the distance, environment, and required link performance. Fibre planning includes compatible transceivers, fibre type, connectors, and patching. Ethernet-style connectors on proprietary AV links should not be assumed suitable for connection to an ordinary LAN switch.

Resilience and recovery

Design and test the failures the system needs to tolerate.

Where continuity matters, we establish the required level of network and power resilience. Compatible redundant audio arrangements, spare ports, alternative paths, and backup power are considered within the project scope.

A secondary port may have a specific redundancy function. We follow the selected device architecture and keep independent networks separate where required. Commissioning checks the agreed failure and recovery scenarios; an extra cable alone does not establish redundancy.

Secure administration and remote access

Keep management access controlled and maintainable.

We coordinate administrative accounts, management interfaces, permitted remote access, firmware responsibilities, and access revocation with the customer’s IT policies. AV endpoints should be reachable only through the approved paths required for their functions.

Remote troubleshooting arrangements are agreed for the project, including who grants access and when it is removed. Configuration backups and documentation are handed over through an appropriate method. Remote access is separate from a guaranteed monitoring or response-time service.

Commissioning under representative load

Verify the installed network with the system operating as intended.

XL AV tests representative audio routes, video streams, source changes, controls, and discovery. We check link status, available diagnostics, clock stability, and error indications while the agreed simultaneous workflows are active.

Where required, testing includes restart behaviour, connection recovery, and defined backup scenarios. Findings and unresolved dependencies are recorded against the acceptance criteria. Testing one source on an otherwise idle network provides limited evidence for a multi-room installation.

Clear responsibilities with the IT team

Agree who supplies, configures, approves, and maintains each part.

XL AV defines the AV endpoint and media requirements, proposes the relevant network configuration, and verifies the AV workflows within scope. The customer and IT provider establish enterprise network approvals, security policies, change windows, and administration responsibilities.

The proposal identifies who supplies switches and cabling, applies configuration changes, manages addresses, and supports the network after handover. This coordination reduces the risk of necessary work being omitted between separate AV and IT scopes.

Deliverables for operation and future changes

Leave a usable record of how the system is connected and tested.

Agreed deliverables can include a network requirements schedule, topology drawing, endpoint and port list, addressing information, media routes, configuration backups, test records, and an operating guide. Credentials and other restricted information are transferred separately through an approved method.

Bring your site plans, network standards, switch inventory, endpoint list, and intended room workflows to a consultation. XL AV can assess the existing infrastructure, identify dependencies, and establish the design, implementation, and testing work for your project.

Manufacturer planning resources

Requirements are checked for the selected equipment, firmware, and network architecture during design.
