Room planning 01

Event formats and production scope

Define presentations, performances, staged events, and the equipment needed for each venue arrangement.

XL AV reviews the event formats, audience positions, stage dimensions, presenter and performer locations, and production positions. A conference presentation, live band, awards programme, and community production can require different inputs, camera views, monitor feeds, lighting cues, and operator roles.

The design establishes the installed infrastructure and the connections for temporary or visiting equipment. We identify who supplies and operates each part of the production, the expected changeover time, and the configurations the venue needs to support. Touring or rental-system planning considers repeat assembly, transport, handling, and documented setup requirements.

Audience sound and stage monitoring

Plan coverage, microphone inputs, mixing, and monitor feeds for the event programme.

Loudspeaker design considers the audience geometry, required programme level, room reflections, and available positions. Main loudspeakers, fills, and subwoofers are selected and aligned for their roles. Speech intelligibility, music playback, and live performance are evaluated against the agreed operating requirements.

Input planning covers presenters, vocalists, instruments, playback, and guest connections. Stage wedges or in-ear monitoring require defined mixes and operator controls. DSP settings include routing, gain structure, alignment, equalization, and appropriate protection. Microphone placement, loudspeaker aiming, and controlled gain support feedback mitigation.

Room planning 03

Wireless systems and production communications

Coordinate microphones, wireless monitors, batteries, antennas, and operator communication.

Wireless microphones and monitors are planned together with the equipment brought by visiting productions. Frequency availability, permitted bands, channel count, antenna positions, and venue interference are checked for the location. A frequency plan needs to account for simultaneous operation rather than testing each system in isolation.

We define transmitter labels, receiver assignments, console channels, battery routines, and spare equipment. Movement tests cover the intended stage and presentation areas. Where required, production intercom or talkback connects camera operators, stage staff, and the control position through an agreed communication workflow.

Room planning 04

LED displays and stage configurations

Match display dimensions, pixel pitch, processing, and support arrangements to the production.

Stage displays can carry presentations, live camera images, graphics, and scenic content. We review the content canvas, audience distances, camera use, available space, and assembly method. Projection, flat panels, or LED are evaluated against the event requirements and venue conditions.

For suitable flown or ground-stacked layouts, XL AV evaluates LUXVISION ECOLUX Hanging X. Available factory-flown mounting and ground-stack systems provide configuration options; published pitches include 1.95 mm, 2.31 mm, 2.60 mm, and 2.97 mm. The selected panels, support hardware, processor capacity, power and data paths, and service access are specified together.

Supporting structure, loads, stability, and installation conditions are reviewed by the responsible specialists. A changing layout needs documented panel mapping and configuration files. Camera views and actual content are checked on the completed display. Fine-detail, close-view applications may justify evaluating a different LUXVISION family.

Room planning 05

Presentation sources, playback, and confidence views

Coordinate guest laptops, media playback, speaker notes, and the images seen by different audiences.

Presenters may need a laptop connection, a supplied playback source, a document camera, or a remote contributor. We define connection locations, supported formats, switching, scaling, and audio routing. Guest devices are checked against the agreed examples, including any required adapters or peripheral transport.

Confidence displays can show notes, the current slide, a timer, or the programme image. The stage, audience display, stream, and operator monitor may need different outputs. We document those destinations, cue ownership, backup sources where scoped, and the procedure for changing content during a show.

Room planning 06

Cameras, streaming, and recording

Build the production path for live images, online audiences, recording, and supported replay functions.

Camera positions, lens coverage, switching, and operator monitoring are planned for the programme and audience sightlines. Live image magnification needs attention to end-to-end latency when the stage and display are visible together. Remote contributors require defined return-video and return-audio paths.

The recording or stream can combine cameras, presentation material, graphics, and a dedicated audio mix. We coordinate synchronization, encoder formats, network capacity, recording status, and supported destinations with IT and the production team. Capture or replay functions require their own equipment and operator workflow.

The customer establishes platform accounts, publication permissions, content rights, and retention requirements. Technical acceptance checks cover the agreed feeds and recovery steps rather than assuming the room image also represents a successful recording or stream.

Room planning 07

Lighting, cues, and camera compatibility

Plan presenter visibility, stage looks, fixture control, and exposure across the event positions.

Lighting design considers presenter and performer locations, stage depth, scenic elements, audience conditions, and the available fixture positions. The scope defines everyday venue scenes and any detailed production cues. Consoles, control interfaces, and operator roles are selected for the intended use.

Camera exposure, white balance, fixture dimming, and display brightness are checked together. Visible flicker or banding depends on the equipment and camera settings, so representative operating conditions are tested. Lighting data paths, fixture power, mounting, access, and responsibilities for building and emergency lighting are coordinated with the project team.

Room planning 08

Guest equipment, patching, and infrastructure

Provide defined connection points and coordinate power, networks, cable routes, and equipment access.

Visiting mixers, playback systems, cameras, and lighting consoles need documented interfaces with the venue. We establish signal levels, formats, connector types, routing permissions, and control boundaries. Labelled patch points and equipment records help crews prepare and restore the system after an event.

The infrastructure plan includes stage and production-position cabling, electrical supplies, racks, ventilation, network capacity, and service access. Temporary cable routes are coordinated with circulation and the room layout. Loads, support equipment, and structural or electrical work are assigned to the responsible specialists.

Room planning 09

Operator workflows and event changeovers

Define presets, production controls, setup checks, and return-to-normal procedures.

Read moreShow less about Operator workflows and event changeovers

Routine presentations can use agreed room presets, while performances may require detailed mixing, switching, and lighting operation. The design establishes which controls belong to venue staff and which belong to production operators. Preset recall and manual controls are checked for unintended overrides.

Preparation procedures include patching, source verification, wireless checks, display configuration, audio levels, camera views, and cue rehearsal. Changeover instructions identify settings to restore and equipment to disconnect. Training and configuration backups are supplied according to the agreed scope.

Commissioning, service, and consultation preparation

Test representative productions and establish the information needed for design and ongoing operation.

Commissioning checks speech, music, monitors, wireless movement, display content, source changes, camera feeds, capture, lighting cues, and control sequences where included. Supported layouts and guest interfaces are tested with the agreed equipment. Acceptance includes ordinary restart and changeover behaviour.

Maintenance planning covers accessible components, cleaning, spare items, configuration files, software updates, and assembly or handling procedures. Service coverage and production staffing are defined in the agreement. Installation scope does not automatically establish on-site operation for every event.

For a consultation, provide venue and stage plans, audience layouts, event examples, existing equipment, technical riders, operator experience, and current problems. Include display content, streaming needs, assembly frequency, available power and networks, support requirements, budget range, and timing.
