Professional AV Integration

XL AV provides complete audiovisual integration: needs analysis, system design, equipment selection, installation, commissioning, training, and support.

Projects range from a single room to multi-site standards. Audio, video, control, lighting, and signage are specified together so the installed system matches how the room will be used.

Scope of work

Work typically includes consultation, drawings and equipment lists, coordination with electrical and network trades, installation, configuration, testing, and operator training.

Service pages describe each discipline. Market pages describe applications such as sports, education, worship, corporate, civic, and live event spaces.

From requirements to a working system

Explore the planning, implementation, and handover work behind an integrated AV system.

Discovery and operational requirements

Define the activities, users, and results the system needs to support.

XL AV starts with the people who use and maintain the space. We review presentations, conferencing, teaching, performance, monitoring, or other activities alongside seating, example content, existing problems, and staff experience.

The requirements describe the intended operating modes and how success will be checked. We establish priorities, budget, timing, and the roles of the customer’s IT, facilities, and project teams. This gives equipment selection and installation a defined purpose.

Site assessment and infrastructure

Check the room and the services the installation depends on.

We assess the relevant existing equipment, room dimensions, mounting locations, cable routes, racks, power, network connections, lighting, and acoustic conditions. Access, testing, and the depth of investigation are established for the project.

The review identifies equipment suitable for reuse and work needed by other trades. Ceiling conditions, building finishes, occupied-room restrictions, and missing records can affect the proposed installation. These dependencies are documented before the implementation scope is finalized.

System design and documented deliverables

Turn requirements into coordinated equipment and connection plans.

Design deliverables can include an equipment schedule, signal-flow diagrams, room layouts, rack elevations, cable and connection schedules, and control-interface descriptions. The documentation package is established for the scale and complexity of the project.

We coordinate display size and resolution, microphone and loudspeaker coverage, camera positions, source connections, control functions, and service access. Design reviews let the customer and project team check that the proposed system supports the required activities before procurement and installation.

Coordination with IT and building trades

Agree who supplies and completes each part of the installation.

XL AV develops the AV requirements for network capacity, endpoint connections, power, mounting, pathways, lighting coordination, and other supporting work. We review these with the appropriate IT, electrical, construction, and furniture teams.

The scope identifies responsibility for infrastructure, approvals, site readiness, access, and change windows. Room bookings, shutdowns, finishes, and equipment deliveries are coordinated with the installation sequence. Changes affecting another trade need to be resolved before work proceeds.

Equipment selection and compatibility

Specify the complete signal path and the functions it must provide.

We select equipment around the room and workflow, including source formats, connectivity, processing capacity, platform support, and maintenance requirements. Displays, audio, cameras, controls, and networks are checked as a proposed system.

Compatibility reviews include the required software, licences, accessories, transport links, and firmware where applicable. If a substitution is proposed, we review its effect on the design and operation. A matching connector alone does not establish equivalent functionality.

Installation and configuration

Assemble the system so it can be tested and serviced.

Installation includes the AV equipment and cabling within scope, coordinated mounting and rack work, connection identification, and equipment configuration. We organize cable routing and service access around the equipment and the available space.

Configuration establishes source routing, audio processing, camera settings, display mapping, network parameters, and other relevant device functions. Changes made during installation are recorded so the final documentation reflects the installed system.

Programming and operator controls

Make routine tasks clear and repeatable.

We define controls around the user’s tasks: starting a meeting, selecting a source, adjusting volume, recalling a room mode, or moving between activities. Labels, feedback, and the order of operations should make the current state understandable.

Programming coordinates the supported devices and integrations. We test routine use, source changes, and relevant interruption scenarios. Administration functions and ordinary operation can have different access requirements, which are agreed with the customer.

Commissioning and acceptance testing

Verify the installed system against the agreed requirements.

Commissioning checks the complete working system, including audio routes and levels, microphone coverage, displayed content, camera framing, control functions, and relevant network behaviour. Representative source devices and content help identify problems that a basic power-on check would miss.

Acceptance criteria identify the functions and performance checks required for handover. We document results, outstanding items, and corrective actions. Recovery testing and extended operation are included where specified; the verification scope follows the project requirements.

Documentation, backups, and ownership

Provide the information needed to operate and maintain the system.

The agreed handover package can include the final equipment list, updated drawings, connection records, device settings, configuration backups, test results, and operating instructions. We identify where files are stored and which team maintains them.

Access credentials, licences, source-code delivery, and third-party programming rights are established within the project arrangements. Restricted information is transferred through an appropriate method. The customer should know what has been delivered and which dependencies remain with other suppliers.

Training and operational handover

Give staff practical experience with their installed system.

Operator training uses the room’s ordinary activities and example source devices. Staff practise starting and ending sessions, changing sources, using the relevant controls, and recognizing when an issue needs assistance.

Technical handover can cover configuration ownership, backup locations, routine checks, and the process for future changes. We record any further work and the agreed service arrangements. Manufacturer warranty coverage and XL AV’s ongoing service responsibilities are established separately for the project.

Multi-room standards and phased delivery

Coordinate consistent operation across rooms or locations.

For repeat room types, we can define common user workflows, interface conventions, equipment criteria, and documentation. Each site still needs its infrastructure and local requirements checked against the standard.

A phased plan establishes what must work after each stage, how retained equipment connects, and how transitions are tested. We coordinate delivery and handover responsibilities with the customer and relevant partner integrators where the project uses that arrangement.

A clear scope before implementation

Agree deliverables, dependencies, and the next decision.

The proposal identifies the design, equipment, installation, programming, testing, documentation, and training included in the project. Customer responsibilities, infrastructure dependencies, assumptions, and any work requiring separate approval are recorded.

Bring your room plans, intended activities, example content, existing equipment information, IT requirements, budget, and timing to a consultation. XL AV will help establish the work needed to deliver and operate the complete system.

Standards and practice

Design and commissioning follow AVIXA and industry best practices, including documentation, performance verification where required, and operator configuration for routine use.
