Room planning 01

Meeting procedure and room layout

Plan council, committee, hearing, and public-presentation workflows around the people using the room.

XL AV reviews the chamber layout, member positions, chair and clerk stations, staff tables, public lectern, gallery seating, and any overflow areas. Different meeting types can need different microphone permissions, presentation sources, camera views, and operator tasks.

We define the public meeting workflow with the customer before choosing equipment. The scope identifies who manages speakers, presentations, recording, remote participants, and room changeovers. Existing discussion systems, displays, furniture connections, and IT services are assessed for reuse.

Committee rooms and civic meeting rooms may share control labels and operating conventions with the chamber while using different equipment arrangements. Layouts, seating capacity, acoustic conditions, accessibility, and support responsibilities determine the configuration for each space.

Room planning 02

Discussion microphones and speaker management

Coordinate member microphones, public participation, request-to-speak functions, and chair controls.

Discussion units, fixed gooseneck microphones, and suitable wireless systems serve different layouts and meeting procedures. We review voice proximity, desk space, cabling, movement, and the need for repeatable microphone positions. Public presentations and audience questions need their own defined pickup method.

Where supported and required, discussion functions can include request-to-speak queues, chair priority, speaker limits, and participant identification. These features depend on the selected system and configuration. The chair and clerk should have clear indicators and controls for the agreed procedure.

Automatic mixing and microphone permissions are coordinated with sound reinforcement, recording, and remote audio. A microphone mute or priority action must affect the intended destinations. We test these functions using representative meeting sequences.

Room planning 03

Speech intelligibility and room tuning

Deliver useful speech levels to members and the public gallery while controlling feedback and reflections.

Loudspeaker coverage considers member seating, staff positions, public seating, and overflow areas. We review microphone-to-loudspeaker placement, room finishes, reverberation, and mechanical noise. Acoustic treatment or building coordination may be required to address conditions that equipment changes alone cannot resolve.

DSP configuration includes gain structure, microphone mixing, equalization, routing, and appropriate protection. Where needed, loudspeaker zones are aligned in level and timing. Feedback mitigation begins with placement and controlled gain. Speech is checked from the agreed member and public-speaking positions.

The public address, recording, assistive listening, and remote-participant feeds can need different routing. We define those paths explicitly and verify ordinary speech, quieter speakers, playback, and simultaneous conversation where the meeting workflow requires it.

Room planning 04

Readable agendas, maps, and presentations

Size shared images for members, presenters, and public seating using actual meeting material.

Agendas, spreadsheets, maps, plans, and drawings need sufficient image size and detail at the intended viewing positions. We review sample material, seating distances, sightlines, ambient light, and reflections. A member confidence display and a public-facing display may serve different tasks.

Flat panels, projection, or direct-view LED are evaluated for the available wall and required image. Multiple displays can show shared content and remote participants separately where the system supports the intended arrangement. Source selection, scaling, and presentation connections are planned with the clerk and presenters.

For suitable detailed close-view applications, XL AV evaluates LUXVISION ECOLUX HD X. Its published 0.93 mm, 1.25 mm, and 1.56 mm pitches provide options for matching dimensions and resolution to the content. Mounting, brightness, processor mapping, service access, and the actual seating geometry are confirmed during design.

Room planning 05

Cameras, recording, and public streaming

Capture speakers and shared material with defined audio, monitoring, and publication workflows.

Camera planning considers member positions, the public lectern, staff presentations, and gallery boundaries. Presets or supported microphone-triggered views can assist operation, but the design must define camera behaviour, manual overrides, and the view used when no speaker is selected.

The recording or stream may need a programme view combining cameras, presentation material, and approved graphics. We coordinate video switching, audio feeds, synchronization, encoding, recording status, and operator monitoring. Network capacity and supported destination formats are reviewed with IT.

The customer establishes recording, retention, publication, permissions, and content policies. XL AV configures the agreed technical workflow and tests its start, stop, and recovery functions. Recording status should be visible to the responsible operator so a room presentation is not assumed to be successfully captured.

Room planning 06

Remote participation and meeting privacy

Route remote speech and shared content correctly, including transitions between public and restricted sessions.

Remote participants need a clear view, intelligible audio, and an agreed method of sharing content or requesting the floor. We coordinate the conferencing endpoint, room microphones, loudspeakers, camera views, and presentation sources. Echo cancellation and return-audio routing are configured for the chosen signal paths.

Public and restricted meeting modes require explicit destination controls. Recording, streaming, overflow, and remote participation must follow the customer’s approved procedure. Microphone muting alone may not stop an outgoing recording or stream. The design defines the affected outputs and the operator confirmation states.

We test mode transitions, source privacy, mute behaviour, and return to normal operation. The institution determines its meeting and access policies; equipment permissions and room controls are configured to support the agreed workflow.

Room planning 07

Accessibility, captions, and interpretation

Define listening, viewing, language, and control requirements with the users and responsible teams.

Read moreShow less about Accessibility, captions, and interpretation

Assistive listening, accessible lectern and control locations, display sightlines, and usable instructions are reviewed with the customer and project specialists. The AV scope defines compatible audio feeds and the agreed listening arrangement. Required accessibility outcomes and acceptance checks are established for the project.

Captioning requires a supported service or workflow and a defined presentation destination. Interpretation, where needed, can require interpreter positions, separate language channels, receiver arrangements, and appropriate monitoring. These functions are evaluated against the selected equipment and meeting platform.

The customer identifies the languages, user needs, service responsibilities, and meeting procedures. We coordinate signal routing and equipment interfaces and test the agreed functions. Captions, interpretation, and assistive listening should be planned together with recording and remote participation.

Room planning 08

Clerk controls and meeting information

Provide clear room operation and define supported agenda, speaker-list, or voting displays.

Read moreShow less about Clerk controls and meeting information

Controls are organized around the chair, clerk, and technical operator tasks. Source selection, room level, microphone permissions, camera views, capture status, and shutdown should have clear labels and indications. Advanced settings can be assigned to authorized operators where required.

Agenda, speaker-list, timer, attendance, or voting information may be shown through supported meeting-management interfaces. Voting and participant identification require the appropriate system features, configuration, and customer-approved procedure. Integration with existing administrative software is confirmed rather than assumed.

The scope defines the authoritative source of meeting information and who prepares and approves it. We check normal operation, manual overrides, source changes, and reset procedures. Documentation should explain how staff prepare a meeting and identify a failed device or connection.

Room planning 09

Voting integration and result displays

Connect participant voting, clerk controls, and public result displays through supported meeting-management interfaces.

Read moreShow less about Voting integration and result displays

XL AV reviews how votes are initiated, who is eligible to participate, which choices are available, and how results are confirmed and displayed. Compatible discussion units or voting interfaces can support participant identification and voting functions when the selected hardware, software, and licences provide those capabilities.

The workflow defines the chair or clerk controls for opening and closing a vote, participant status, result review, and publication to room displays or the programme video feed. Display layouts can show totals or individual results according to the approved meeting procedure. We confirm interfaces with existing agenda and meeting-management software, including supported exports and responsibility for the official record.

The customer defines voting rules, permissions, and public or restricted result visibility. We configure and test the agreed technical sequence, including participant assignment, vote controls, result routing, and handling a disconnected device. Remote voting, if required, is evaluated separately against platform support and the customer’s approved process.

Room planning 10

Infrastructure, installation, and support

Coordinate furniture connections, networks, mounting, service access, and administration.

Read moreShow less about Infrastructure, installation, and support

The installation plan includes desk cabling, lectern connections, display and camera support, cable pathways, equipment racks, ventilation, and power. Existing furniture and building constraints are reviewed before installation. Equipment must remain accessible for maintenance without unnecessary disruption to meetings.

Networked audio and video, conferencing accounts, device management, and streaming services require IT coordination. Addressing, switch requirements, permissions, supported updates, and remote access are established for the selected system. Credential handling follows the customer’s approved process.

Maintenance planning covers configuration backups, equipment records, spare items, software changes, and who administers each service. Support coverage and response arrangements are established in the project agreement. Multi-room standards should retain useful consistency while accounting for different room requirements.

Room planning 11

Commissioning and consultation preparation

Test complete meeting sequences and bring procedure, content, and room information to the design discussion.

Read moreShow less about Commissioning and consultation preparation

Commissioning checks member and public microphones, speech coverage, speaker controls, readable content, camera views, recording, streaming, remote participation, and accessibility functions where included. Public and restricted mode transitions are tested against the agreed output and permission rules. Acceptance uses representative meeting tasks.

Training covers preparation, ordinary meeting operation, capture checks, shutdown, and basic recovery. Configuration backups and operating instructions are supplied according to scope. Chair, clerk, IT, and facilities responsibilities are agreed during handover.

For a consultation, provide room plans, seating positions, photographs, meeting procedures, sample agendas and maps, existing equipment, and current problems. Include remote and streaming requirements, accessibility and interpretation needs, meeting-management interfaces, IT contacts, budget range, and installation windows.
